I guess that, as the re-arrangement was mutually agreed, they can legally say that they never cancelled the deal. But its not as if we have denied them opening the booking date up to others as they are not taking any more bookings at all. The circumstances are though, to use an over-used phrase, unprecedented so we will wait and see how it pans out.

We have tried to take a pragmatic approach to bookings/refunds/vouchers etc. on the basis that we've already paid and actually lost a holiday/trip and time with friends and family.

If we think the business might survive and we're likely to use them again then a rebooking/voucher is a reasonable way to go.
We've done that for most commitments. And to be honest I can't even recall what I've paid to the hotel in Kelso….
(Edit, just £50 deposit, way less than the petrol we would have consumed getting there and back and over the weekend)

Oddly a hotel we booked in Glasgow (for tonight!) at a cheap prepaid non-changeable non-refundable rate has actually refunded us! We cancelled as soon as we knew we weren't going mainly as a courtesy so they knew we wouldn't be arriving as they're probably running a skeleton staff by now.

Our flight this afternoon to Glasgow was cancelled some time ago by BA and we've asked for a full refund (but not been paid it yet, it's well overdue). The alternative was a voucher only valid for 12 months and the chances of us flying with BA in the next 12 months are realistically probably pretty low now...

so buddies,
what's the current status? is it the 30th/31st of October?
as far as I understand, all the hotel bookings have been moved to the new date, so no need to ask the hotel about that.

is it safe to assume the meeting will take place (I know, given the Covid-situation as safe as it can be without government interference)? or should we wait with ferries, etc.?

cheers,
manuel

Yes, the proposed dates are still the 30th/31st Oct.
Given the current progress on reducing the suppression measures (i.e. allowing travel to holiday destinations and hotels to open by, it is expected, 15th July) it looks like the October date is viable. However, much will depend on the hotel's ability to meet any social distancing rules or other restrictions that may remain in place. We havent spoken yet to the hotel about this but, given that they may be allowed to open from the 15th Jul and they should be considering how they will do this, it is now a good time to ask that question.
Needless to say, other local restrictions may be imposed if any local/ regional virus flare-ups occur. (Note that as Scotland's infection and death rates/numbers have fallen, they are considering applying quarantining rules for those coming from England!!!)
I will call the hotel before the end of the week and post their response.

really looking forward to the update David!

Fingers crossed for an awesome weekend in the UK :-) but I guess it's much safer to wait for September/ October.

Default Update

Now that some of the lockdown restrictions are being reviewed, we have had a discussion with Ednam House Hotel around what things might look like for our proposed meet at the end of October. Clearly things might change before then but at the moment the restrictions being put in place are such that our event would be unviable. It is therefore unlikely that the meet will go ahead at the end of October. We are involved in ongoing discussion with the hotel to explore what options we have. As soon as alternative options are confirmed we will provide you with another update.

thank you very much for the information brian!
I will keep my fingers crossed, but I can understand the hotels point of view and that under the given circumstances a meeting will be more than difficult

You must be gutted guys. All that work (and you know that I speak from experience!) to have a pesky virus scupper your plans! But I know it’ll be great when it eventually happens, so I’ll keep looking forward to it.

Default Update 2 - change of date

Having had a series of exchanges with the hotel now that they are in the process of re-opening, this is the current situation:

1. As Brian outlined above, the possible/probable? continuation of the current Covid rules rules out the meet taking place in October. (i.e. table spacing, numbers allowed at tables and inability to all dine at the same time, no Ceilidh etc.)

2. We looked at delaying till next June but the hotel has NO weekends free between 1st May and 30th Sept!! (all 2020 weddings were shifted into an already busy 2021).

3. Despite us making a case for refunding deposits, the hotel is not prepared to do that and is falling back on "normal Terms and Conditions". They will, however, as "a gesture of goodwill", hold deposits for up to 12 months to enable a personal stay at the hotel if people can't make a revised date for the meeting. We are aware that some have paid more than just a small deposit.

4. In the light of the above, we have currently moved all the bookings to 23/24th April 2021 this being the only date available (without it being winter).

Obviously, this may not suit everyone so, if all who have booked can now consider what they want to do - and those who haven't booked look to see if they can make the April date.
Will will start a new thread for this revised date and paste over the 2020 booking list so please amend /delete as appropriate when its posted in the 2021 thread.
